An event to energize the community:
Demos - Foundations and Civil Society Forum

Client: Asociación Española de Fundaciones (AEF)

Agency: Impact Hub Events Agency

For the fourth consecutive year, Impact Hub Madrid organized the most relevant annual event of the Spanish Association of Foundations (AEF): the Demos Forum, the Foundations and Civil Society Forum. In addition to positioning the brand, the event aims to build loyalty, attract new foundations and elevate the Spanish Association of Foundations in the foundational ecosystem. It was a two-day hybrid event, centrally focused on the active participation of foundations to create a social, innovative and inclusive ecosystem.

Proposed solution

We held this event in the Auditorium of the Germán Sánchez Ruipérez Foundation, located in the Matadero cultural center in Madrid. We produced 3 plenary sessions and 8 parallel sessions, in addition to coordinating the 56 speakers and 400 attendees.

We designed a pre-welcome day and a fresh and fun final awards ceremony, where the most important projects of the foundations were recognized. All this has been in a hybrid format, providing all the necessary technical means to replicate the sessions in an online format with live streaming to provide a rhythmic and dynamic viewing.

We have also proposed several parallel activities in a flexible format to energize the community and create alliances, such as: "The Wall of Alliances", "Demo Points" or "Speed Meetings" which had more than 80 participants..

Communication elements such as the website or the final designs and artwork have been other important elements that Impact Hub contributed to the event, in addition to coordinating sustainable catering, ushering staff, set-up and tear-down, and production.

Impact achieved

  • 94.4% of the attendees rated the event as well or very well organized.
  • More than 500 people have attended between face-to-face and online attendees. We have coordinated 56 speakers as well as a production and technical team of 22 people
  • All the ephemeral elements used for the event were deposited in clean points for later recycling, sustainable catering was selected and waste was reduced by 85%.
  • Speakers residing outside Madrid were able to speak online in order to reduce travel and, therefore, their carbon footprint.
